Through the initial application form we collect:
- Family member details: name, surname, relationship to deceased, country of residence, email and phone.
- Deceased soldier details: name, surname, nationality, passport number, dates of birth and death, unit and service data.
- Uploaded documents: copies of passports, death certificates, military documentation and other documents you choose to attach.
- Viability data: answers to questions about document availability, family relationship and legal situation of the case.
- Electronic signature: full name as authorisation signature.
3. Purpose of Processing
We process your data exclusively to:
- Assess the viability of the compensation file.
- Prepare, manage and submit the claim to the competent Ukrainian authorities.
- Communicate with you about the status and follow-up of your file.
- Comply with applicable legal obligations.
4. Legal Basis
- Contract performance: we need your data to manage the file you entrust to us.
- Explicit consent: collected via the form checkboxes for processing of specially sensitive data (deceased's data).
- Legitimate interest: for file follow-up and case-related communications.
5. Recipients
Your data may be shared with:
- Competent Ukrainian authorities (Ministry of Defence, civil registries, military pension bodies) — solely for file processing.
- Certified translators and notaries — for document legalisation.
- Collaborating lawyers — bound by confidentiality agreements.
6. International Transfers
Since Legado de Valor operates from Ukraine and clients may reside in the EU or other countries, international data transfers occur. These are carried out with adequate safeguards through explicit consent, contract performance necessity, GDPR compliance for EU citizens, and compliance with the Ukrainian Law on Personal Data Protection (2010).
7. Retention Period
We retain your data for as long as necessary to fully manage the file and, once concluded, for 5 years by legal requirement. Documents are securely deleted after that period.

9. Security
We apply appropriate technical and organisational measures to protect your data. All data is transmitted over encrypted connections (HTTPS/TLS). Internal access is restricted to personnel who need it to provide the service.
